This guide provides a reference for estimating time and pricing based on common business tasks. Each task is based on a "universal hour" benchmark for clarity and transparency in hourly or project-based billing.



Administrative & Inbox Support


Task: Email Cleanup and Categorization

Baseline: 1–2 hours per 500 emails

Variables: Email volume, number of folders/rules, spam filtering

Intake Questions: How many emails? Any priority folders?


Task: Calendar Cleanup and Optimization

Baseline:1 hour

Includes: Reviewing conflicts, setting blocks, adding color codes or labels


Task: Digital File Organization (Google Drive, Dropbox)

All time estimates are based on a CGS-trained VA familiar with standard tools.

Complex tasks or missing inputs may increase time requirements.

Projects over 2 hours typically require intake questions or a scoped estimate.

All task blocks are prepaid in 20-hour increments unless flat-rate project pricing is selected.
